ePUAP in 2026: what still works for people living abroad?

An old tutorial may tell you to send every Polish official request through ePUAP. In 2026, that advice is too broad. Use this guide to distinguish the platform, your electronic identity and the current delivery rules before filing from abroad.

Has ePUAP been switched off?

Do not treat ePUAP as either universally available for every new request or completely replaced for every purpose. From 1 January 2026, e-Doręczenia is the main electronic correspondence channel, while ePUAP is used in cases covered by specific provisions. Official 2026 correspondence guidance.

The practical question is not just whether you can log in. It is whether your particular request may be submitted through the service you selected. That is why the current procedure page and receiving authority matter.

ePUAP, Profil Zaufany and e-Doręczenia explained

These names describe different parts of an online task. ePUAP is a public administration platform. Profil Zaufany is an identity and trusted-signature service. e-Doręczenia provides registered electronic delivery using an ADE address.

  • A working trusted profile can help you identify yourself or sign documents where supported.
  • An ePUAP account does not automatically provide a completed e-Doręczenia setup.
  • An ordinary email to an office is not interchangeable with every official filing route.

Treat older ePUAP examples with care: check the 2026 channel rules for the specific procedure rather than assuming ePUAP is accepted for every task.

How to choose the correct application route

  • Find the official page for the exact service, not only the general portal homepage.
  • Read the current submission instructions and identify the receiving office.
  • Check whether a dedicated online form, e-Doręczenia, an authorised ePUAP service or a paper route is specified.
  • Check who must sign and whether you are applying personally or through an authorised representative.
  • Prepare the required form and supporting records before sending.

If instructions conflict, ask the receiving authority to clarify the permitted route and the reference to use. Keep that answer with your case notes. This is especially useful when a saved local-authority page predates the 2026 changes.

Logging in, signing and sending are separate steps

A successful login does not prove that the application was signed or delivered. Verify the final signed document and the submission confirmation. When using attachments, check the signature requirements for the actual application as well as the covering message.

If you are moving a request to e-Doręczenia, follow our guide to activated mailboxes and signed attachments. Do not simply paste an old ePUAP message into a new channel without checking the form and supporting files.

What to check before starting from abroad

Set aside time to test your access before a deadline. Confirm that your identity method still works and that you can receive its authorisation messages. If you need to recover an account or verify a foreign phone number, follow the official provider’s help route.

You may need Profil Zaufany confirmation without a Polish bank account. You may also need documents that no login can supply automatically: an updated marriage record, a certificate in the required format or an accepted translation. Separate these tasks so an access issue does not hide a missing-record issue.

Keep your existing correspondence and proof

For an existing case, preserve the application, signed files, receipt and office reference from the channel originally used. The rules for a new submission do not make your earlier case file unnecessary. When answering a new request from the authority, follow its current instructions.

A simple folder with dates, document names and proof of submission is more useful than scattered screenshots. Keep the complete files where possible. If your goal is to obtain records rather than manage an account, browse our Polish document services and describe the document request when asking for a quote.

Frequently asked questions

Does Profil Zaufany stop working because ePUAP rules changed?

No. Profil Zaufany has its own identity and signing functions. A change to the permitted delivery channel does not mean the identity service has been abolished.

Can I send any request using an ePUAP general letter?

Do not assume so. Check the specific procedure and current official submission instructions, including the 2026 correspondence rules.

Can an online account replace a required original certificate?

Not automatically. The receiving authority determines the required document form and any accepted electronic alternative.
