Apostille & Translations
Apostille for a Polish document: when it is needed and who issues it
For a Polish birth certificate used abroad, first check whether the receiving authority requires an apostille and which certificate format it accepts. Poland’s Ministry of Foreign Affairs handles apostilles for qualifying civil registry documents. Authentication, the certificate itself and any translation are separate parts of the preparation.
How to get an apostille for a Polish birth certificate
- Confirm the destination and the receiving authority’s requirement.
- Obtain the correct paper certificate issued by the Polish civil registry office.
- Check the official seal, official’s stamp and signature required by the Ministry’s civil-record instructions.
- Arrange the apostille, then confirm whether the translation must cover both the certificate and its apostille.
The Ministry states that a photocopy or an ePUAP printout cannot receive this apostille. Source: Ministry of Foreign Affairs, civil status records.

Check the destination and document
First confirm the destination country is covered by the Apostille Convention and that the receiving authority asks for an apostille. The HCCH status table is the authoritative country list. Some EU public documents circulate without apostille under separate EU rules.
The competent Polish authority
The Polish Ministry of Foreign Affairs issues apostilles for many Polish public documents, but some document classes follow a different route. The Ministry’s current instructions should be checked for the exact document before filing.
Order of work
Obtain the correct original or certified copy first. Add the apostille to that document. If a sworn translation is required, arranging it after apostille usually allows the translation to cover both the document and the apostille.
Before you start
- Destination country
- Receiving authority’s written requirement
- Correct paper original or certified copy
- Translation language and format
Common mistakes
- Adding apostille before obtaining the final certificate
- Assuming every foreign use requires apostille
- Translating before the apostille when the apostille must also be translated
